How to manage stock across multiple stores and warehouses
The day a second shop or a godown opens, stock stops being one number. “We have 120” becomes “where?”. These steps keep the books true as you grow.
1. Decide your structure
Treat each place of business as a store and each place that holds stock inside it as a warehouse. A shop with a back room has one store and two warehouses: the shop floor and the back room. A branch in another area is another store.
2. Give every bill a home
Every sale and purchase should say which store and which warehouse it belongs to. Then the stock of that warehouse moves with the bill, and a report can answer “what did the City shop sell this month”.
3. Move stock with a note, not a message
When stock goes from the godown to a shop, record a transfer: from, to, items and quantity. The sender gives it up at once and the receiver confirms when it arrives. Stock on the road is then neither lost nor counted twice.
4. Count on a routine
Pick a day each month and count each warehouse. Enter the counted quantity and correct only the differences. Keep a reason for every correction, such as damaged, expired or sample, so that you can see where stock leaks.
- Count the fast movers more often
- Keep the reason for every correction
- Compare the count with the system before you correct
5. Set minimum levels per warehouse
A busy counter needs a higher minimum than a godown. Work out the minimum from daily sales and the days your supplier takes, and let the software warn you when an item reaches it. Our free reorder level calculator does the arithmetic.
6. Use separate invoice numbers per store when it helps
A prefix per store makes it easy to tell where a bill was made, and each store’s book stays in order. Keep prefixes short; the GST rules limit an invoice number to 16 characters.
7. Show people only their store
A salesman at a branch needs that branch’s items, stock and bills, not the rest of the business. Tie staff to a store or a warehouse and keep the full view for the owner.
Make this easier with Dukkan Bill
Know what is in every godown, shop floor and van. Move stock between them, count it, get alerts before it runs out, and see who changed what.
